Who I am
creatiVAssist is a virtual PA business run by Rachel Fox, trading as creatiVAssist. I decide how the personal information described here is used, which makes me the "controller" under UK data protection law.

What I collect
When you get in touch
The contact form asks for your name, email address, whether you're a creator or an agency, your handle or agency name, the package you're thinking about and your message. If you email me or message me on Instagram, I receive whatever you send.
When you book a call
Bookings are made through Google Calendar's booking page. It collects your name, email address, the time you choose and any answers you give when booking.
When you become a client
I keep your contact details, billing details, our agreement, invoices and our correspondence. I also handle the information needed to do the work, such as brand contacts, contracts and deal details.
When you browse the site
If you accept cookies, Squarespace collects information about how the site is used, such as pages visited, the device and browser used and an approximate location. See Cookies below.
Why I use it

I don't sell your information and I don't use it for automated decisions about you.
Information I handle for clients
When I work for you, I often handle personal information that belongs to your business, such as contact details for brands, agencies and talent. For that information you are the controller and I act as your processor. I only use it to do the work you've asked for, keep it secure and delete or return it when our work ends, as set out in our agreement.
Who I share it with
I use a small number of trusted services to run the business. They only receive what they need to provide their service:
- Squarespace hosts this website and provides its analytics.
- Formspree delivers contact form messages to my inbox.
- Google provides my email, calendar and call bookings.
- My cloud storage and accounting providers store files and financial records.
- My accountant and HMRC receive financial records where the law requires it.
Some of these services are based in, or store data in, the United States. Where information leaves the UK, it's protected by safeguards recognised under UK law, such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Addendum.
How long I keep it
- Enquiries that don't lead to work: up to 12 months, then deleted.
- Client records and invoices: six years after the end of the tax year they relate to, as HMRC requires.
- Information I handle for clients: deleted or returned when our work ends, unless our agreement says otherwise.
- Website analytics: kept by Squarespace in line with its own retention settings.
Your rights
You can ask me to:
- give you a copy of the information I hold about you
- correct anything that's wrong or incomplete
- delete your information
- limit how I use it, or stop using it
- send it to you or another organisation in a usable format
Where I rely on your consent, such as analytics cookies, you can withdraw it at any time. Email hello@creativassist.com and I'll respond within one month.
If you're unhappy with how I've handled your information, please tell me first so I can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Cookies
Cookies are small files saved by your browser. This site uses two kinds:

Google's booking page may set Google's own cookies once you open it. To change your choice on this site, use the Cookie settings button at the bottom of any page. You can also clear or block cookies in your browser settings.

If I change how I use personal information, I'll update this page and the date at the top.
